What is created on the first of the month

At the start of the month Venheim builds the package for the previous month. If you like, it goes to the accounting firm by email automatically — sending is opt-in, the manager enters the address personally. Without sending, the same ZIP is available as a download in the reports at any time.

Formatted Excel monthly report

A cover sheet with the month's key figures, then one sheet each for revenue, till reconciliation, waste, working hours and receipts. Working hours are listed per person with daily rows and a monthly total — also for people who left during the month.

A CSV copy of every table

Every sheet of the report is also included as a machine-readable CSV. The accounting firm reads the figures into its own software instead of retyping them from a table — whichever program it uses.

Every receipt photo of the month

Delivery notes and invoices the team photographed at goods receipt are included as files — sorted by month, with the receipt table as an overview.

A read-me for the accounting firm

A short accompanying text explains what is in which folder and how the files belong together — so that even the first month works without questions.

Two printouts of the same month are identical, byte for byte

The creation time on the monthly report is the date of the month, not the second of the click — and the Excel properties and every entry in the ZIP carry the same mark. That sounds like a detail, and it is the difference between two comparable sheets and two sheets that differ in a time of day.

In practice this means: if the accounting firm downloads July in August and again in November, the same file comes back — and if not, then something really changed in July. That is exactly the question a tax audit asks when two versions of the same month are on the table.

The closed month stands still

At the end of the month open shifts are capped, and every timestamp in the package — right down to the individual ZIP entries — carries the same point in time. For the current month this naturally does not apply: there the state is “up to now”.

A test keeps it that way

The promise is not claimed but checked: a test run downloads the same package twice with a gap and compares the files byte for byte. If the test fails, the change does not ship.

Who inspects determines what they may see. That is why Venheim does not have one access for “the authority” but three separate routes — and the food authority is the only one that gets a live view.

Food authority: the link

A time-limited read-only link to the hygiene records, without an account and without an app. It shows temperatures, cleaning and training — not working hours, receipts or revenue.

Tax office and audit: the export

For the tax authority the monthly package is the route: § 131 (3) BAO requires data in readable form, not live access to the running system. That is exactly what the ZIP delivers — Excel, CSV and receipts, with the same structure every month.

Labour inspectorate: the CSV

The working-time records under § 26 AZG go out as a separate CSV export — with the clocked times and every correction with its reason, not as access to the business.

That a food inspection does not see receipts, revenue and working hours is not a gap but data minimisation: it has no legal basis for this data.

What is in the monthly package?
A ZIP with a formatted Excel monthly report — a cover sheet with the month's key figures, plus the sheets revenue, till reconciliation, waste, working hours per person (daily rows plus monthly total) and receipts. Every table is also included as a machine-readable CSV, all receipt photos of the month are included as files, and a read-me (LIESMICH) explains the structure to the accounting firm. The package itself is in German, like the accounting it is made for.
Does it work with any accounting firm?
Yes — the monthly report is a normal Excel file, and every table is also included as a CSV; any accounting firm can work with that, regardless of its software. DATEV only concerns payroll: the payroll export delivers movement data per person and day in DATEV format, so that the firm imports instead of retyping. Anyone using a different payroll program takes the working-hours CSV.
What does the monthly package cost?
It is not a separate licence and has no price of its own: automatic monthly sending to the accounting firm belongs to the Premium plan — one price per site, the whole team included without limit. The current amounts are in the pricing strip on this page. The manager can still download any month from the reports at any time.
Do we keep access after cancelling?
Yes. Viewing and exporting always stay free — an expired subscription only stops writing in paid areas. The receipt archive is never deleted anyway, because keeping it is a retention duty under the BAO (Austrian Federal Fiscal Code). On top of that there is the full export: every owner can download the entire organisation as a ZIP with one CSV per table and all files — deliberately without a subscription barrier, so that nobody is trapped in the software.
How do the receipts get in?
At goods receipt the team photographs the delivery note or invoice directly on their own phones; the photo is reduced in size and goes into the receipt archive, grouped by month. The manager can also add receipts later. Nothing is ever deleted — a wrong receipt is voided with a mandatory reason and kept along with its log. The monthly package contains all photos of the month as files, plus the receipt table in the Excel report.
Are two printouts of the same month identical?

What exactly does the DATEV payroll export contain?
Movement data per person and day from the time clock — the hours actually clocked, not the planned ones. The wage type can be set per business so that the file matches the firm's setup. The export replaces retyping timesheets, not payroll itself: supplements, special payments and the payroll run remain the job of payroll.
