Inspection-ready means: presentable without anyone preparing anything

Between “we document that” and “we can show that” lies half an inspection day. Three things make the difference — and all three are built in, not add-ons.

A link instead of a stack of folders

When the food inspectorate comes, it gets a time-limited read-only link: the inspector sees temperatures, cleaning, incidents with their resolution and the training records, and cannot change anything — and needs neither an account nor an app. The manager sets the validity between one and 90 days; after that the link expires by itself. Working hours, receipts and revenue stay out of it.

Versions instead of overwriting

When the hygiene plan is replaced, the old one becomes an earlier version instead of a lost file. Whoever was briefed on it in March can still show in November what it said in March — the training record names the document, not just the tick. When an instruction ages, it comes back as a follow-up in the calendar.

Data as of, not “generated at”

The record does not carry a print time but the state of the data: when something was last recorded or corrected. That is why two printouts of the same month are identical byte for byte — and anyone who lays two sheets side by side sees a change in the difference, rather than just two different times.

The checksum at the top of the record detects such changes — it is change detection, not tamper-proofing. The sheet says so too, so that nobody later takes it for more than it is.

In Venheim the law is data, not hard-wired if-then logic. The country is set on the organisation and controls legal references, public holidays, minimum leave and deadlines.

Inspection and maintenance duties are built-in data too, not sticky notes: the scheduler comes with 14 Austrian and 17 German inspection-duty templates — each with its legal basis and source. Where the deadline depends on a permit or the installation, the business enters it itself; the app invents none.

Honestly: the app provides recording, proof and export. Whether the documentation is sufficient in an individual case is for the business to clarify with the authority and its tax advisor — we promise neither legal certainty nor a seal.

What is a digital operations logbook?

Which industries is Venheim for?
For small businesses with shift work and record-keeping duties in Austria and Germany: hospitality, gyms and training studios, and retail. The industry is a setting per site and shows the matching building blocks — a gym gets its equipment and inspection part, hospitality its HACCP and bar part.
Do we pay per employee or per site?
Per site per month. The whole team is included — nobody counts heads; whoever joins gets an invitation. Roster, records, inventory, receipts and reports are in the same price.
Does it work for Austria and Germany?
Yes. The country is set on the organisation and controls legal references, public holidays and deadlines: in Austria § 26 AZG (Working Hours Act) for working time, in Germany § 16 ArbZG. HACCP follows EU Regulation 852/2004, which applies in both countries.
What does the food inspectorate see if we give them a link?
Exactly the record pages: temperatures, cleaning, best-before dates, incidents with their resolution, operating instructions and training records. The link is read-only — nothing can be changed through it, and the lock sits in the database, not in the interface. The manager sets how long it is valid (between one and 90 days); after that it expires by itself, and one click ends it earlier. The inspector needs neither an account nor an app. Working hours, receipts and revenue stay out of it — a food inspection has no legal basis for those.
What happens when we change an operating instruction?
It is not overwritten: replacing the file creates an earlier version that stays readable. The training record states what someone was briefed on — whoever was briefed on the hygiene plan in March can still show in November what it said in March. An instruction that was in force is not deleted either; it is voided with a reason and stays visible. If you set a review interval, the instruction comes back as a follow-up in the calendar.
Does the calendar cost extra?
No, it is included in every plan — including the Start plan, which is free for good. Keeping track of deadlines is a duty, and a duty does not belong behind a paywall. The calendar brings together your own appointments and the due dates from training, equipment inspections, best-before dates, maintenance and orders — with traffic lights for overdue, due soon and planned. An overdue appointment never silently rolls on; it stays put until someone ticks it off.
Can we get out again if it does not fit?
At any time. One click exports the complete business as a ZIP — one CSV file per table plus every receipt and record. An expired subscription only stops new entries in the paid areas; viewing and exporting always stay free. No lock-in.
