What happens to 3.2 °C?

From the hand on the thermometer to the link for the inspection: six steps, two minutes. On the right, the record grows as you go.

  1. Chef checks the open fridge and writes the reading on a clipboard07:42:13

    Entered.

At the appliance, on the phone, in seconds. The timestamp is set when it is entered, not when it is copied out on Sunday.

Fact checkA late entry is possible, but it shows on the record as a late entry with a reason.
  2. Fridge with vegetables in gastronorm containers and a red use-first stickerTarget at most 4 °C

    Compared.

Every appliance has its own target. If a reading is above it, Venheim asks for an action, with a reason.

  3. Chef in a toque reading on a tabletAN · kitchen

    Assigned.

With a name and a time. The record chain shows whether the person was clocked in and trained.

Fact check“Who was allowed to do that on 14 July?” The skills map with a cut-off date knows.
  4. A hand in a blue glove wipes a stainless-steel surfaceVoid, never delete

    Permanent.

A mistake is voided, never deleted. Every intervention gets its own reason and its own record.

Fact checkRecord data is never deleted, only voided or corrected.
  5. Bright, clean professional kitchen after the shiftVersion 3 · checksum

    Sealed.

At the end of the month the record stands with a header, rule version and checksum. Generated twice, byte-identical.

Fact checkThe monthly package for your accountant arrives on the 1st by itself and can be reproduced byte for byte.
  6. Inspector with a clipboard goes through a list with a chefRead-only link

    Shown.

The inspection gets a link instead of a folder: read-only, time-limited, only to the record.

Fact checkIt cannot change anything. Afterwards the link expires by itself.

Paper before.
Records today.

Before

  1. Temperature list on paper, sometimes filled in at the end of the week for the whole week.
  2. Cleaning plan in a folder. Who ticked it off is there. When, isn't.
  3. Stocktake on paper, then typed up on the computer. Two rounds.
  4. A new hire shadows the shift. Nobody knows for sure what they can already do.
  5. When an inspection comes, the searching starts.

Today

  1. Entered at the appliance. The timestamp is set when it is entered.
  2. Ticked off on the phone, with name and time, with a photo if you like.
  3. Counted once, right in the storeroom, with the expected stock next to it.
  4. Onboarding with sign-off by the manager and a certificate.
  5. The inspection gets a link. Read-only, time-limited.

08FeaturesTwelve building blocks · one app

What a business needs every day.
In one place.

Grown out of a real business: every feature exists because it was missing day to day.

Team and working time

04
  • Roster

The week is built at the push of a button from opening hours, requests and the rules of your business. A stress test shows who is missing if two people call in sick.

  • Time clock & working hours

On each person's own phone with a location check, or on a wall-mounted tablet with a PIN. Corrections only with a reason and a log.

  • Onboarding and learning

In every plan: lessons, sign-off by the manager, a test, an instruction record and a certificate. Premium adds flashcards, quizzes and duels.

  • Instructions and handover

Hygiene plan and operating instructions with versions instead of overwriting. Everyone an instruction applies to confirms reading it themselves, and the record shows who was briefed on which version. Each shift hands over with a checklist and a note; the next one confirms taking over.

Hygiene and inspections

04
  • Hygiene & HACCP

Temperatures, cleaning and best-before dates become the monthly record. For every signed-off check, the record chain shows whether the person was clocked in and trained. Wireless sensors in the cold room record directly.

  • Inspections by the authority

The inspector gets a time-limited read-only link instead of a folder. They cannot change anything, and the link expires on its own afterwards.

  • Appointments & deadlines

Grease trap, fire safety, machine servicing: everything with a deadline in one calendar with traffic lights that reminds you by itself.

  • Inspection view

Your business as an inspection would see it: every inspection area with its legal basis and the way to fix it. A dry run that records nothing.

Stock, money and guests

04
  • Inventory & receipts

Stock, stocktake and losses with a reason, the order suggestion from consumption. At goods-in the delivery note is photographed; if you like, an AI using your business's own key reads item, quantity and best-before date as a suggestion. What the team books in only counts after a second person approves it; receipts are only voided with a reason, never deleted.

  • Reports & finances

Control score, revenue, cost of goods and staff hours per month — with the data quality shown instead of polished figures. After a promotion you see before against after, in units and gross profit.

  • Monthly package & payroll

A monthly ZIP with an Excel report and every receipt for your accountant. Working hours go to payroll as a DATEV or BMD file; the import mapping is agreed once.

  • Booking and loyalty card

One poster with a QR code: guests book without an account and collect stamps without an app. Booking emails, loyalty card and printouts carry your logo and colour. Included in Pro, with no commission per guest.

10Technical dataSecurity in the database

Technical data.
And where we stop.

Two things you want to know before committing for a year: what happens to your data — and what the app deliberately does not do.

Separation
Row-level securityPer organisation and site, in the database, not just in the interface.
Access
Two-factor for managersWith an authenticator app, enforced in the database, not just on the screen in front of it.
Data
In the EUDatabase, sign-in and files at Supabase in Ireland, the app at Vercel in Dublin.
Backup
Daily, encrypted, completeA restore test every month. A backup that has never been restored is only a hope.
Records
Never deleted, only voidedEvery correction carries a reason and a name and stays visible.
Inspection
Time-limited read-only accessThe inspector sees the record and changes nothing. Access ends by itself on the day you set.
Payroll
BMD and DATEVWorking hours as a file for payroll, the monthly package as a ZIP for your accountant.
Export
One click, the whole businessAs a ZIP: one CSV file per table plus every receipt, record and image. A second click deletes the business completely and for good.
Languages
German and eight moreEnglish, Turkish, Polish, Romanian, Hungarian, Bosnian, Croatian and Serbian. Everyone picks their own language; records and exports stay in German.
Subscription end
Records stay readableAn expired subscription only stops new entries in the paid areas. Viewing and exporting stay free, and mandatory recording keeps working.

What the app does not do.

So that nobody buys something they will not get.

  • Built for businesses in Austria and Germany. Working-time records follow the Austrian and German Working Hours Acts (AZG, ArbZG), receipts follow BAO/AO, payroll exports are DATEV or BMD. Businesses elsewhere can use the app, but the legal references are not theirs.
  • No cash register — but connected. We leave the signed till to certified POS systems. helloCash and ready2order deliver their daily takings automatically, any other till via CSV or API — and the reports compare them with your own count.
  • No payroll. The app delivers clean hours and receipts for the accounting firm. Wages are calculated where collective agreements and social security are kept up to date.
  • A tool, not a legal promise. For working-time records and HACCP, the app provides recording, proof and export. Whether the documentation is sufficient in an individual case is something to clarify with the authority and your tax advisor.
  • Offline for everything recorded on site. Clocking in, temperatures, cleaning and maintenance ticks, stocktake counts and inspection dates work with no signal — the app can even be restarted there. Every entry keeps the real time and is sent automatically later; nothing is thrown away. Approvals, orders, reports and chat need a connection.

What each point covers is listed on the pricing page. What roster, time tracking and HACCP records cost separately from different providers is worked out with sources in the price comparison (German).

Prices shown are final prices — as a small business under § 6 (1) no. 27 of the Austrian VAT Act (UStG), we do not charge VAT. Every business starts with 30 days of Premium without payment details — when the trial ends, it carries on free for good in the Start plan instead of being locked.

14QuestionsWhat businesses ask before starting

Common questions.

Not here? By email we usually reply on the same working day.

Is Venheim available in English?

The team view is: besides German, it speaks eight more languages — English, Turkish, Polish, Romanian, Hungarian, Bosnian, Croatian and Serbian. Everyone chooses their language in their own profile. Records and exports stay in German, because they are for Austrian and German authorities and accountants. The sign-up form is in German for now.

What happens after the 30 trial days?

The business falls back to the Start plan — free for good, nothing is deleted. Roster, time clock, chat and swaps keep running; everything else can still be viewed and exported, just not filled with new entries.

How many team members are included?

From the Pro plan, as many as you like — the price depends on the site, not on headcount. The Start plan is designed for 5 team members and 1 site.

We have several sites — does that work?

Yes, with Premium. Every site has its own team, its own records and its own reports; billing is per active site.

Do we need anything from the app store?

No. The app runs in the browser and can be added to the phone's home screen as a tile. Notifications — for example a forgotten clock-out — arrive as push messages.

Where is our data stored?

In the EU: database, sign-in and files at Supabase (region Ireland); the app itself runs at Vercel (region Dublin). Every business is technically separated from all others; sites only see their own data. Details are in the privacy policy (German).

How long does setup take?

Create the business (two minutes), enter opening hours, invite the team by link — basic lists for cleaning, appliances and tasks are there from the start and can be renamed. Most businesses clock in and plan on the same day.

How do we reach you?

By email to office@venheim.com — we usually reply on the same working day. There is deliberately no phone support; that keeps the price where it is.

Can we get out again if it does not fit?

At any time. The full export delivers all data in open formats (CSV plus original files), and the business can be deleted completely. The owner does both themselves, without asking us.

What if Venheim stops existing one day?

Then the data still belongs to the business: the full export (CSV plus every file) is available at any time — you do not need to ask us or reach us for it. On top of that, a full backup with a restore test runs every night. Records stay readable and exportable even with an expired subscription.

Does my team need to be technical?

No. For the team it is three moves on their own phone: clock in, enter a temperature, tick a box. Anyone who is stuck asks the app itself, for example how to clock in or out: it shows the steps and highlights the spot on the screen, without an AI model and in every plan.

Do authorities and inspectors accept digital records?

Digital records are permitted if they are complete and traceable — that is exactly what the app is built for: nothing is deleted, corrections carry a reason and a name, and the inspection gets its own read-only access. How that looks in detail is on the page about HACCP records.
