The setup fee: €199.00 one-off

The most expensive moment is not the tenth month but the first week. An operations logbook only helps once real fridges with real limits are in it, the team is set up and the first reading has actually been recorded. That is exactly where self-setup fails: sign up, half set up, never record anything — and then rightly cancel, because you never saw what you were paying for.

The setup fee buys this first step — guided, with your data, in one appointment:

Initial setup with your real data: site, opening hours, team, fridges with limits, cleaning plan, product groups
45 minutes of guided start: the first temperature, the first clock-in, the first cleaning tick, done together
Record routes set up: monthly hygiene report to the authority, monthly package to the tax advisor

Who does not pay it

Businesses created before 12 September 2026 do not pay it — anyone who started in the trial keeps the terms they started on. And on the Start plan it never applies.

A business subscription belongs on a business account. Payment details are held by Stripe — Venheim sees neither card nor account numbers.
An invoice for every payment
Every charge gets its invoice in the customer portal — viewable, downloadable, ready for the accountant.
Cancel at period end
Yourself, in the customer portal, no questions and no notice trap. Everything stays usable until the end of the paid period; then the business carries on in the Start plan.

Records are never put behind a paywall. Temperatures, cleaning, best-before dates and the time clock stay recordable in every plan, and every export stays open — even after cancelling. What the law requires cannot depend on whether an invoice is outstanding.

What does Venheim really cost?

The Start plan is free for good — for one site with up to 5 people, including roster, time clock, chat and HACCP recording with Excel download. Pro costs €39.90 and Premium €69.90 per site per month; paid annually it is €399.00 or €699.00 a year, so two months are free. The team is unlimited in every paid plan: it costs no more when five people become fifteen. On top comes a one-off setup fee of €199.00, waived with annual payment. Prices shown are final prices — as a small business under § 6 (1) no. 27 of the Austrian VAT Act (UStG), we do not charge VAT.

Why a €199.00 setup fee when others charge nothing?

Because the most expensive moment is not the tenth month but the first week. An operations logbook only helps once real fridges with real limits are in it, the team is set up and the first temperature has actually been recorded. That is exactly where self-setup fails: businesses sign up, half set things up and never record anything — and then rightly cancel, because they never saw what they were paying for. The fee buys the guided initial setup with your data and a 45-minute start in which the first temperature, the first clock-in and the first cleaning record are done together. If you would rather set up yourself, pay annually — then the fee is waived entirely.

How do I avoid the setup fee?

With annual payment. The fee is then waived completely — together with the two free months, that is a difference of €278.80 in the first year on Pro. Businesses created before 12 September 2026 never pay it: anyone already in the trial keeps the terms they started on.

Can I cancel monthly?

Yes. Cancellation goes through Stripe's customer portal, which you reach directly from the app, and takes effect at the END of the current billing period — until then everything stays usable, nothing is cut off. After that the business falls back to the Start plan; the records stay and remain exportable, because records required by hygiene, working-time and tax law belong to the business, not to the software.

What happens at the end of the trial?

The trial lasts 30 days and runs without payment details — nothing is charged automatically and nothing is silently renewed. If it ends without a plan being chosen, the business carries on in the Start plan: mandatory recording stays open (temperatures, cleaning, best-before dates, time clock), and exports stay available too. A record the law requires is never put behind a paywall.

Do I pay VAT on the price?

Prices shown are final prices — as a small business under § 6 (1) no. 27 of the Austrian VAT Act (UStG), we do not charge VAT. What this page shows is therefore the amount that is charged — nothing is added. If that changes, it changes visibly on every price at once; they all come from a single place in the code.

What does a second site cost?

The price is per site. Start and Pro cover one site each; multiple sites start with Premium. Two sites on Premium cost €139.80 a month, or €1398.00 a year with annual payment. The setup fee is charged once, not per site: One-off €199.00 setup fee with monthly payment — waived with annual payment. The number of sites is kept up to date automatically — if a site is closed, the amount drops with the next invoice.

How can I pay?

By SEPA direct debit or card — SEPA comes first on purpose, because a business subscription belongs on a business account, not on a private credit card. Payment details are held by Stripe, not by us: Venheim sees neither card nor account numbers. Every payment comes with an invoice in the customer portal.
