Look first: the sample business is a café
The product pictures on these pages show the sample business “Cafe Sunshine” — for a café that means, for once: the pictures show exactly your industry, from the weekly plan to the booking page to the counter. The product tour walks through a whole working day of this café in twenty views, and the live demo opens the same business as a real application in read-only mode — look, don't change, both without signing up. Both are in German. And honestly: the interface is real, the data is invented.
Why this shows so much here
On other industry pages the pictures carry the note “the picture shows the sample business — the mechanics are the same”. Here that distance disappears: table reservations, class places, counter tiles and temperature lists are set up in the demo the way a café would set them up — what you see there is what you get.
Reserve a table, book a class place — guests do it themselves
The business decides what it offers: a table, pick-up, pre-order or a class with limited places — in the demo it is a latte-art workshop. Guests scan the QR code or follow the link, choose a time slot and enter name and email; the confirmation email contains a cancellation link, and the manager sees the bookings before opening up. Online booking belongs to the Pro plan.

- Only the manager, who can see the room, can overbook — never the form

The stamp card — no app, no guest data
A stand with a QR code on the counter, and the guest has their card: no sign-up, no download, no email address. Stamps are collected as on paper — except that the card does not disappear in a wallet and the business sees whether anyone uses it at all. The stamp card belongs to the Pro plan, with no fee per card or per stamp.
- The team gives the stamp: the code is on the team's device and changes every minute — a photo of it is no use to anyone, and every stamp shows who gave it
- No guest data is created: what is stored is a counter behind a random address, no name, no email, no profile
- The stand is a normal code from the QR centre and counts itself — next to it you see how many cards get stamps, how many fill up and how many rewards are redeemed

The counter keeps count — no till required
Every sale is a tap on a tile: cappuccino, cake, sundae. The price is frozen with the tap, and the counts become the revenue curve, cost of goods and each person's own statistics — without any till requirement. If you have a till, you can connect it optionally (helloCash, ready2order or by CSV) and get the daily till reconciliation as well. The sales tip of the day looks into the stock and suggests what deserves an active recommendation.
The till stays the till
Venheim is not a cash register and does not want to be one. helloCash and ready2order deliver their daily revenue automatically, any other till comes in by CSV file or interface — the comparison is against your own count, and the receipt signature stays with the certified till system.
HACCP in brief: display, chilling, freezing
Cafés and ice-cream parlours are food businesses — own-checks have to be documented, right where they happen: at the display, the fridge, the freezer. In Venheim every entry is a tap on the phone and carries person and time.
Temperatures with a target per appliance
Cake display, milk fridge, freezer — a stored target per appliance, entered by the business from its own-check concept. If a value deviates, the app asks for the corrective action before it moves on: the gap shows up at once, not at the inspection.
Freezing — the critical point of an ice-cream parlour
With ice cream, the frozen chain is where nothing may go wrong — that is exactly where measurements belong, and every deviation needs a corrective action on record. Which values are usual is set out with sources in the temperature list guide (German); this page deliberately pre-fills no figures.
Cleaning lists per shift
Portafilter, ice-cream machine, display, work surfaces — each shift its own list, as the business sets it up. What is done carries person and time; the manager sees the day's state without standing behind the counter.
Best-before for milk, cakes and ingredients
Batches are created at goods receipt with their date — dairy, cakes, sundae ingredients. Stock is taken on the principle “first expiring, first out”, and waste is always booked with reason and quantity, never as a silent correction.
All of that becomes the monthly HACCP record as an Excel file — at the push of a button or automatically by email. The own-check concept itself — control points and limits — remains the business's job; Venheim records and proves.
Season opens, season closes — the team grows and shrinks with it
The ice-cream counter needs people in July that it does not need in January. Every person is in the plan with their own weekly hours — full-time, part-time, marginal — and enters availability and preferred shifts on their own phone. Whoever starts is in the plan the same day with the invitation; whoever leaves in autumn is deactivated rather than deleted — hours and records remain, and in spring the same person is active again with one click.
Time clock from day one
Clocking in and out with one tap on your own phone — also for the temp who only stays for the summer. Corrections need a reason and leave the original standing, and the monthly overview per person goes to payroll as a CSV file.

The weekend carries the week — the plan knows it
Sunday brunch needs double staffing, Tuesday afternoon half. The weekly grid plans exactly like that — per day, per peak, per person with their own hours.

The team makes swap requests on their own phones — the manager approves them centrally in the approvals centre instead of reading back through chats. At the weekend especially, it matters that the swap is on record.
Hours and leave balance
Planned shift and clocked time stand side by side; every person sees their own balance and remaining leave. The question “how many hours have I done?” is answered by the app — not by the owner in the middle of the breakfast rush.
And because café teams are rarely monolingual: besides German, the team view speaks eight more languages — English, Turkish, Polish, Romanian, Hungarian, Bosnian, Croatian and Serbian. Everyone chooses for themselves; records stay in German.
One QR code on the table: menu, review, Wi-Fi
The menu code and the review QR are dynamic: the image only holds a short link, and the destination can be changed after printing — if the menu moves to a new address, the printed stands stay valid. Every scan is counted, and the moment a guest pays happily is the moment for the Google review. The Wi-Fi code, by contrast, carries its content in the image itself — a phone cannot be connected to a Wi-Fi network through a redirect; so it stays unchangeable and is not counted.

Made behind a real counter — honest about cafés
Venheim was built in a real hospitality business — counter, fridges, sales tiles, HACCP recording — and is used there every day. As of August 2026 it is not yet running in a classic café or ice-cream parlour, and we would rather say so than invent a reference.

No signal in the cold room? No problem.
Clocking in and out, temperatures, cleaning and maintenance ticks, stocktake counts and inspection dates work without a connection — the app can even be restarted with no signal. Every entry keeps the time it was tapped and is sent automatically later: time-clock entries for up to 3 days, everything else for up to 7 days. Nothing is thrown away. Approvals, orders, reports and chat need a connection — they depend on data only the server knows at the moment of the decision.
