The buffet is going up, the first pot is brewing — and reception asks who is doing the second floor today, because a colleague has called in. At eleven a guest is at the front desk: room 12 was not made up. It was — only nobody can prove it. At noon the part-timer asks about their hours, the temperature list for the fridges is stuck in a folder, and somewhere lies the slip saying when the legionella sampling last took place. None of it is dramatic. But all of it lands with the same person. Venheim collects exactly these cases in one place — with proof of who did what and when.

What Venheim is — and deliberately is not
Venheim is the tool for team and operations: who works when, who did which room, which temperature was measured, which deadline is due. It is not a PMS — no room bookings, no channel manager, no guest registration forms. The PMS stays the PMS; Venheim is the operations logbook next to it, and both run side by side without getting in each other's way.
Why we say it so clearly
A search for “hotel software” mostly brings up PMS and channel-manager systems. Anyone who expects one of those and lands here should know within ten seconds — not after signing up. And the other way round: for roster, hours, housekeeping records and breakfast HACCP a PMS is the wrong tool. That is exactly the gap Venheim fills.

A time clock on your own phone
In Austria § 26 AZG requires records of the hours worked — in a small house too. Clocking in and out with one tap on your own phone; the location check runs in the background, only the distance to the house is stored, never the coordinates.
Requests & swaps
The team enters availability and preferred shifts on their own phones and makes swap requests — the manager approves them centrally in the approvals centre instead of reading back through chats during breakfast service.
Seasons and part-time, per person
Every person has their own weekly hours — full-time, 20 hours, marginal — and sees their own balance and remaining leave. Seasonal staff are deactivated at the end of the season rather than deleted: the records remain, coming back is one click.
And because housekeeping and breakfast teams are rarely monolingual: besides German, the team view speaks eight more languages — English, Turkish, Polish, Romanian, Hungarian, Bosnian, Croatian and Serbian. Everyone chooses for themselves; records stay in German.
“Who did room 12?” is in the list
In Venheim housekeeping runs as cleaning lists per area and shift: the house sets up its own lists — for example one per floor, with the rooms as tasks, plus breakfast room, sanitary areas and stairwell. Signing off happens on the phone, right at the trolley — and every tick carries person and time.
The manager sees the day's state without walking through the house: which floor is done, where things are stuck. And when a guest complains, the answer is not a shrug but an entry — who, when, which room.
What is done does not disappear
Every tick stays as an entry, and an open item is visible in the afternoon instead of forgotten. Recurring tasks reappear by themselves in the next cycle — the list maintains itself along the way.
Breakfast HACCP: recorded where the buffet stands
Whoever serves breakfast keeps food own-checks — and they belong documented where they happen: at the hot holding, the fridge, the store room. In Venheim every entry is a tap on the phone and carries person and time.
Temperatures with a target per appliance
Buffet hot holding, fridge, freezer — a stored target per appliance, entered by the house from its own-check concept. If a value deviates, the app asks for the corrective action before it moves on.
Best-before in the breakfast store
Batches are created at goods receipt with their date — dairy, cold cuts, juices. What expires first is at the top, with a traffic light; waste is booked with reason and quantity, never as a silent correction.
The monthly record as Excel
Temperatures, cleaning and best-before dates become the monthly HACCP record as an Excel file — at the push of a button or automatically by email. When the inspection comes, the folder is already done.

Inspection deadlines with due dates instead of slips in a folder
An accommodation business carries deadlines that no calendar keeps by itself: fire safety inspection, lift, legionella sampling of the hot-water system, maintenance contracts. In Venheim such appointments are listed with their last completion and a calculated due date, ordered by urgency — and the app reminds the manager before the inspection does.
Honestly: which deadline applies in a given case is on the official notice, on the installation or in your own inspection plan — Venheim does not pre-fill an interval and does not invent one. The business enters its deadline and confirms it; an invented interval would be more dangerous than an empty field.
The Monday-morning view
One combined reminder instead of twenty calendar entries: overdue, due soon, done. Whoever ticks off a deadline leaves person and time — the record is created along the way and stays.

Three QR notices at reception that take work off your hands
The moment a guest checks out happily is the moment for the Google review — not the request by email three days later. And notices answer the two most common questions at reception faster than any receptionist.
- Google review: one scan leads straight to the house's review form — the dynamic code can be changed after printing, and the QR centre counts the scans
- Guest Wi-Fi: one scan connects the phone — nobody spells out the password at reception any more
- Breakfast times as a text QR — the content is in the code itself; if the times change, the notice is reprinted, we say that honestly
Up to 3 active codes are included on every plan. The counter knows no personal data — it counts the scan, not the person.

Made in a food business — honest about the house
Venheim was built in a real hospitality business — food, HACCP, cleaning lists, early shifts — and is used there every day. As of August 2026 it is not yet running in a hotel or guesthouse, and we would rather say so than invent a reference.

Clocking in and out, temperatures, cleaning and maintenance ticks, stocktake counts and inspection dates work without a connection — the app can even be restarted with no signal. Every entry keeps the time it was tapped and is sent automatically later: time-clock entries for up to 3 days, everything else for up to 7 days. Nothing is thrown away. Approvals, orders, reports and chat need a connection — they depend on data only the server knows at the moment of the decision.
